What Meeting Scheduler does and how it behaves

Meeting Scheduler answers one coordination question: which periods fall inside every participant's stated availability after their local times are aligned across time zones? Enter each person's time zone and available window for the date being considered, then inspect the shared interval instead of comparing clock readings by hand. The common mistake is assuming equal local clock labels represent equal moments. A 9:00 AM opening in one zone is usually a different instant from 9:00 AM elsewhere, and daylight-saving rules can change the gap for a particular date. Availability data is processed in the browser and is not uploaded.

How the result is produced

Aligning local windows

For each participant, the scheduler interprets the entered start and end in that participant's chosen zone and for the applicable date. It then places those windows on a common timeline for comparison. A shared interval therefore represents simultaneous availability even when each person sees a different local clock time or, near midnight, a different calendar date.

Finding the common interval

The scheduler retains only the portion covered by every participant's submitted availability. With three participants, a time covered by only two is excluded. Adding another participant can leave the existing common interval unchanged or make it shorter, but cannot enlarge it. Read both endpoints carefully and compare the resulting length with the duration needed for the meeting.

Good uses

  • Compare a New York hiring manager's interview hours with a candidate's availability in London and an observer's working hours in Singapore.
  • Find a cross-region handoff period shared by support staff who enter their available shift windows using their respective local time zones.
  • Check whether conference speakers in several countries have simultaneous preparation time on a specified date before proposing a calendar invitation.

Limits and checks

  • An overlap reflects only the availability that was entered. It does not prove that participants' calendars are conflict-free or account for unlisted breaks, travel, tentative appointments, or last-minute changes.
  • Verify the intended date and each selected zone. A reused numeric UTC offset can become wrong after a seasonal clock change, while abbreviations such as CST may refer to more than one zone.
  • A nonempty overlap may still be unusable if it is shorter than the proposed meeting, crosses a participant's local date boundary, or falls at an impractical hour that was accidentally marked available.

Common questions

Why does the time difference between two participants change on another date?

Named time zones follow civil-time rules, and regions do not all move their clocks on the same dates or at all. The offset between two zones can therefore differ by meeting date. Run the comparison for the actual date instead of copying an overlap from another week, especially around seasonal clock changes.

Does any reported overlap mean the meeting can be scheduled?

No. It means only that the entered windows share at least one simultaneous interval. The interval must still be long enough for the planned meeting, and the entries may omit calendar conflicts, breaks, travel, or personal constraints. Treat the result as a candidate, then confirm the exact local date and time with every participant.
