Link Building Outreach Tracker organizes link acquisition work around four distinct facts: prospects identified, outreach emails sent, responses received, and links placed. Enter campaign activity as it happens, then use the pipeline visualization to see where prospects currently sit and where follow-up may be needed. The important distinction is that outreach progress is not placement success. A reply, including an interested reply, should not be counted as a link placement until the link is actually published. Because campaign records may contain contact details and private correspondence notes, entries stay in the browser and are not uploaded.

Record outreach events

Add the prospects being considered for a link building campaign, then log the campaign events associated with them. Emails sent, responses, and placements are separate records of progress rather than interchangeable measures. Keeping those events distinct lets the tracker represent a prospect that was contacted but never replied, replied without agreeing, or ultimately produced a placement.

Read the pipeline

The pipeline visualization summarizes the logged progression from prospecting through outreach, response, and placement. Use it to compare the volume at each point and identify records that have not advanced. The view describes the campaign state represented by your entries; it does not establish email delivery, assess the editorial value of a link, or measure any resulting search performance.

Good uses

  • Maintain a working list of publishers or site owners being approached for links to a specific article, resource, or campaign page.
  • Review contacted prospects that have not produced a response before scheduling the next round of manual follow-up.
  • Separate confirmed placements from replies and other outreach activity when preparing a campaign progress report.

Limits and checks

  • Treat every total as a summary of what was logged. An email marked as sent does not by itself prove delivery, and a missing response entry does not prove that no reply exists elsewhere.
  • Define what counts as one prospect before comparing campaigns. Multiple contacts at one publication can represent separate people or one target organization, and mixing those interpretations can distort pipeline counts.
  • Do not interpret placement volume as link quality or SEO impact. The tracker records acquisition progress, but relevance, editorial context, link attributes, continued availability, and ranking effects require separate evaluation.

Common questions

Does the tracker send outreach emails?

No. Its stated purpose is to log prospects, emails already sent, responses, and link placements, then visualize that activity as a pipeline. Use the email-sent entry as a campaign record, not as evidence that this tool composed, delivered, or monitored the message. Sending and inbox management remain separate parts of the outreach workflow.

Does a recorded placement mean the backlink is live and acceptable to search engines?

No. A placement indicates that the campaign record was marked as having produced a link. Confirm the published page and link yourself before recording it, and review the link's context and attributes separately. A placement count does not certify compliance, editorial merit, permanence, indexability, or ranking benefit. Google's spam policies are relevant when links involve payment, exchanges, or manipulation.
