Enter a total wedding budget and guest count, and this tool divides the amount across line items such as venue, catering, photography, and flowers, then recalculates a per-guest cost as you adjust any category or the guest list. It's meant for the planning stage, before contracts are signed, so you can see roughly where the money goes and how sensitive the total is to guest count. What people get wrong most often: cutting the guest list shrinks catering and rentals but rarely touches venue minimums or photography packages, so the per-guest savings from trimming a list are usually smaller than expected.

Category allocation

The total budget is distributed across a fixed set of wedding categories (venue, catering, photography, flowers, attire, and similar). Editing one category's dollar amount or share adjusts what's left for the others, so the categories always reconcile back to the total you entered rather than floating independently.

Per-guest cost tracking

Alongside the category breakdown, the tool divides the running total (or individual guest-driven line items like catering) by the guest count you enter. Changing the guest count recalculates this figure immediately, which is the fastest way to see the cost impact of adding or cutting attendees.

Good uses

  • Setting a ceiling budget before contacting vendors, to see roughly what's left for venue and catering after fixed costs like attire and rings
  • Testing how much money is freed up (or not) by cutting the guest list from, say, 150 down to 100
  • Comparing what share of the total is going to photography or flowers versus the venue, to spot where the budget is unbalanced

Limits and checks

  • Any default category percentages or suggested splits are generic starting points, not vendor quotes for your region - actual venue and catering prices vary widely by market and season
  • The tool works from whatever subtotals you enter; it doesn't automatically add sales tax, gratuities, or vendor service charges, which can add a meaningful amount on top of quoted prices
  • The per-guest figure only reflects costs that actually scale with headcount - fixed costs like the dress, rings, or photographer's flat fee don't shrink if you cut guests, so lumping them into a 'per guest' number overstates the savings from a smaller list

Common questions

Does it add sales tax or vendor service fees automatically?

No. The tool totals whatever category amounts you enter; it doesn't know your local tax rate or a specific vendor's service charge. Build those into your category figures yourself, or add a buffer line, before treating the output as a final number.

Can I use it to track a fixed budget I don't want to exceed?

Yes - enter your ceiling as the total and adjust category amounts against it; the breakdown shows how the categories divide up that total. It won't flag real-world overspending against actual vendor invoices, though, since it only works with the numbers you type in.
